Privacy Policy

1. Information we collect

Depending on how you use the Services, we may collect:

  • Identity and contact information, including name, work email, employer, professional title, telephone number, and mailing address.
  • Account and security information, including usernames, password verifiers, authentication events, invitations, permissions, and security logs. We do not store passwords in readable form.
  • Institution and project information, including organization profiles, project names and locations, spaces, teams, assignments, workflows, decisions, comments, files, reports, version history, and audit activity.
  • Subscription and communication information, including plan, billing contact, payment status, support messages, newsletter choices, and unsubscribe records.
  • Device and usage information, including IP address, browser, operating system, referring page, pages and features used, timestamps, approximate region, diagnostic events, and cookie or similar identifiers.

2. Where information comes from

We collect information directly from you; from your institution, administrator, or another user who invites you; automatically when you use the Services; and from providers supporting hosting, security, communications, billing, and operations.

3. How we use information

We use information to create and protect accounts; provide project workspaces, collaboration, reports, and requested features; administer tenants, roles, subscriptions, and licenses; send invitations, service notices, and support responses; deliver OC Knowledge when requested; process payments; prevent fraud, malware, abuse, and unauthorized access; maintain and improve the Services; enforce agreements; comply with law; and create aggregated or deidentified information.

4. Project workspace data

For website visits, account administration, billing, security, support, and OC communications, OC generally determines why and how personal information is processed. When an institution controls a Platform workspace, that institution generally determines how its Workspace Data is used, and OC processes it on the institution’s instructions as a service provider or processor. Requests concerning institution-controlled Workspace Data should normally be directed to the institution administrator.

5. How we share information

We may disclose information to providers supporting hosting, infrastructure, email, authentication, security, support, payments, and consented analytics; to authorized institution administrators and project participants; to professional advisers; to authorities when legally required or reasonably necessary to protect the Services and users; to a successor organization in a business transaction; and to recipients you direct or authorize.

OC does not currently sell personal information or use it for cross-context behavioral advertising.

6. Cookies and similar technologies

Necessary technologies authenticate users, maintain sessions, protect requests, and remember privacy choices. Optional technologies operate only according to the choices shown in Cookie Settings. See the Cookie Policy.

7. Data retention

We retain information only as long as reasonably necessary for the disclosed purpose, the applicable institutional agreement, security and backup lifecycles, accounting and legal obligations, and the establishment or defense of claims. Newsletter information is retained while you are subscribed; after unsubscribe, we may keep the minimum suppression record needed to honor your choice.

8. Security

We use reasonable administrative, technical, and physical safeguards appropriate to the information, including access controls, encrypted transmission, credential protection, software maintenance, logging, backups, and vendor review. No Internet service can guarantee absolute security. Use a unique password and notify us promptly of suspected unauthorized access.

9. Your privacy choices and rights

Subject to applicable law, you may request access, correction, deletion, portability, restriction, objection, withdrawal of consent, or review of a denied request. You may unsubscribe from marketing through the link in each message. Transactional, account, and security messages may continue while you use the Services.

Submit a request at Privacy Choices or email info@ocbdc.com with “Privacy Request” in the subject. We may ask for information reasonably necessary to verify identity, authority, or account relationship. Where applicable, we honor recognized opt-out preference signals, including Global Privacy Control.

10. International users

The Services are operated from the United States. If information is transferred from another country, we use legally required transfer safeguards where applicable.

11. Children

The Services are designed for organizations and adult professionals and are not directed to children under 13. Platform account holders must be at least 18 or have legal authority to act for their organization.

12. Changes

We may update this policy as the Services, law, or our practices change. We will update the date above and provide additional notice when legally required or when a change materially affects your choices.
